Filming a conference in Dallas costs $3,500 to $15,000 with Image Media Lab, as a fixed fee that covers the crew, the edit, and captioned social clips. Where your event lands in that range depends on four things: hours on site, the number of cameras and crew, how many sessions you need recorded in full, and how many finished edits you want back.
Rush delivery, travel outside Dallas-Fort Worth, extra days, and add-ons such as an on-site podcast studio sit on top of the package fee. Below is what each tier includes, as the package pages list it, and how to tell which one your conference needs.

The Marquee Event, $15,000
Built for flagship annual events, major industry conferences, product launches, and large galas of 500+ attendees. A three-camera crew plus an audio engineer covers the event across multiple days, and you receive:

The add-on: the Mobile Podcast Lounge, $4,500

A conference puts your speakers, customers, and sponsors in one building. The Mobile Podcast Lounge records them while they are there: a three-camera studio with its own crew, built in any 10 by 10 foot space in your venue. The fixed fee of $4,500 includes:
- 3 Nikon ZR cinema cameras: host, guest, and a wide two-shot
- Up to 4 participants on mic, with an isolated audio track per mic
- Up to 3 hours of recording: six to eight conversations of 15 to 20 minutes, or one or two long-form episodes
- Every conversation edited, up to 8 episodes, with a multicam cut, color grade, audio mix, and captions
- 5 captioned vertical cuts and a sizzle reel of 60 to 90 seconds
- Raw multicam files and per-mic audio stems within 48 hours
- Two rounds of revisions and delivery in 5 business days
Extra recording hours are $500 per hour. Live streaming of the lounge conversations to YouTube, LinkedIn, or a private platform is a custom-quoted add-on.
What moves the price
Hours on site
Crew time is the core of every event quote. Up to 4 hours covers a keynote block, an awards program, or a half-day offsite. A full day of up to 10 hours can run from registration to the closing session. Anything longer is multi-day coverage. The crew arrives 60 to 90 minutes early to set up, so confirm load-in access with the venue.
Cameras and crew
One camera can follow the speaker or the room, not both at once. Two cameras let a session be filmed wide and tight and switched in the edit, which is how the Chronicle’s session recordings are made. Each added camera means another operator on the day and more footage in the edit, which is why crew size tracks so closely with price.
Session recordings

Full-length recordings turn a recap into an archive. The Event Pulse includes none, The Conference Chronicle includes 3, and The Marquee Event includes 5. If your agenda has more sessions worth keeping, that becomes a custom quote built around the agenda. Bring the venue’s AV team in early: the sound feed from the stage decides whether a recording is usable.
Social clips
Captioned vertical clips scale with the tier: 5, 10, and 15. If the recordings hold more good moments than the package cuts, our remote video editing service can turn them into more short-form clips after the event: The Clip Pack is 10 edits from up to 3 hours of source for $1,500.
Rush delivery
Standard delivery is part of every package: 7, 10, or 14 business days. If you need the recap sooner, for a board meeting or a follow-up email to attendees, tell us before the event. We confirm what is possible and what it adds, in writing, before anyone films.
Photography
Event photos come with The Event Pulse only. The Conference Chronicle and The Marquee Event are video packages, so if you also need photo coverage, put it in the brief and it is quoted alongside the video.
Travel outside Dallas-Fort Worth
Package pricing covers any venue in DFW. For Austin, Houston, San Antonio, or an out-of-state event, the quote adds a transparent travel line item with no markup.
Multi-day coverage
The Marquee Event is the multi-day package. A two-day event that needs less than the Marquee’s full list is quoted as a custom project, from one formula: (Crew + Gear) × Shoot Days + Post-Production Hours + Creative Fee. The pricing page explains how custom quotes are built.
Three example budgets
- An awards dinner for 150 at a Dallas hotel: The Event Pulse, $3,500. If the reception and the program fit in four hours, one package covers both, with a highlight reel, five clips, and photos.
- A one-day conference for 400 with breakout sessions: The Conference Chronicle, $7,500, plus the Mobile Podcast Lounge, $4,500, for speaker and sponsor conversations. Total: $12,000.
- A multi-day flagship summit in Fort Worth with an outdoor evening event: The Marquee Event, $15,000, drone aerials included. The same summit in Austin adds a travel line item.
How to compare event quotes
A day rate tells you what the crew costs, not what you get back. Line up every quote against the same list: hours on site and number of days, cameras and who handles audio, full-length session recordings, each finished edit and its length, captioned clips, photos, revision rounds, the delivery date, and who owns the footage. When one quote comes in far lower, one of those lines is usually shorter or missing. For the full buyer checklist, see how to choose a corporate video production company in Dallas.
Frequently asked questions
Do you bill by the hour?
No. Every event package is a fixed fee, and its deliverables list is the scope. Anything beyond it is quoted before the event, not added after.
Who owns the finished videos?
You do. Every deliverable is yours to use on all platforms, in paid ads, in perpetuity.
Do we need full session recordings, or is a recap enough?
Record sessions in full if you plan to share them with attendees who missed them, offer them on demand, or cut clips from the talks later. If the goal is next year’s registration campaign, a sizzle reel and social clips usually do the job.
Can you film drone aerials at the venue?
Yes, for outdoor events. A drone aerial package is included in The Marquee Event; for the other tiers, ask for it in the brief. Our FAA Part 107 certified pilot is in-house, and we handle LAANC airspace authorization and venue coordination.
